HEP Administrator
Responsibilities
I provide administrative leadership for all aspects of the High Energy Physics Group, alongside supporting the Director of Theoretical Physics.
- Undertake administrative duties in support of the group. Research and book group members’ travel arrangements as requested using a university-approved travel agent and travel insurance service; coordinate members’ diaries; organise meetings; assist with setting up and maintaining project archives and other documentation.
- Provide financial administration. Monitor income and expenditure information from the University Finance System to check that accurate and appropriate budget coding is maintained, produce detailed statements of expenditure against budgets, and liaise with appropriate staff. Dealing with expense claims following seminars, including liaison with speakers and the DAMTP finance team.
- Collate and present financial details for inclusion in interim and final reports to the project funder/sponsor in liaison with the university research office and relevant finance office. Track payroll expenditure against Research Team Members timesheets and maintain files of receipts arising from projects.
- Maintain and update websites and databases. Maintain documentation and records, publicise activities and events, and provide administration support for any such events and activities as required.
- Act as the main point of contact for general group queries. Liaise with internal and external individuals and organisations, including funding bodies, to ensure the smooth running of the research group and deal with all day-to-day correspondence relating to the HEP group.
- Provide administrative support to the HEP group, Director of Theoretical Physics, and wider department, where appropriate. Organise and support meetings and events (seminars, conferences, talks, the Dirac Lecture, and HEP group events); organise travel, accommodation, catering; prepare agendas and other papers and circulate; take minutes; and follow up on action. Organisation of room allocations annually for the start of the Michaelmas term for all new starters and students and throughout the academic year, as required, for visitors.
Since January 2024, I have been an active committee member serving on the Disabled Staff Network.
